Mac Keyboard Setup Assistant Keeps Popping Up? Here’s the Fix

Keyboard Setup Assistant on Mac keeps popping up randomly

Some Mac users may encounter an unusual situation where a “Keyboard Setup Assistant” application opens at random on their Mac, even if they already connected and setup a keyboard to use with their computer. The Keyboard Setup Assistant might pop up completely randomly, when the computer is woken from sleep, when the computer is freshly booted or restarted, or sometimes even when another Mac connected with Universal Control is woken from sleep, or woken from a screen saver. This can be a bit of a nuisance, especially since it can happen even when the keyboard is already configured and in use on the Mac.

While this is annoying, the good news is that there are several things to try which can resolve the issue with Keyboard Setup Assistant constantly popping up at random on a Mac. And often, if the keyboard is already working as intended, you can simply quit out of Keyboard Setup Assistant and you won’t see it again. Let’s learn a bit more about this issue, and investigate some troubleshooting solutions.

What is Keyboard Setup Assistant anyway?

Starting with the basics, you might be wondering what the heck Keyboard Setup Assistant even is. Keyboard Setup Assistant is a built-in MacOS app that can be used to identify and setup keyboards. Not all keyboards connected to a Mac will trigger the setup assistant, but some keyboards will.

How the app is supposed to work is when the Mac detects a new keyboard, Keyboard Setup Assistant opens itself, then requests for you to press the key adjacent to the leftmost Shift key (which on a US English keyboard is Z). This is so that MacOS knows what keyboard layout you’re using, and can properly setup the keyboard.

Many Mac users will never even see this app even if they connect an external keyboard, because for Apple Keyboards and many third party keyboards, simply connecting to Bluetooth and pairing properly is sufficient. But if you do see Keyboard Setup Assistant, typically you only need to perform the keypress once, and the app does not return.

Why does Keyboard Setup Assistant keep appearing randomly?

There isn’t always a single root cause for this, but there are several potential situations that might trigger the Keyboard Setup Assistant to appear at random, or repeatedly, on a Mac.

For example, if you’re using a third party USB keyboard, or a third party Bluetooth keyboard, you might see the Keyboard Setup Assistant. If a wireless keyboard has reconnected itself after being asleep, it might trigger the setup assistant to launch again. If another Mac that is using Universal Control to share a keyboard and mouse is woken from sleep or screensaver, it might activate the Keyboard Setup Assistant too. Some USB hubs, KVM switches, USB keyboards, and/or docking stations that are powered might also spontaneously disconnect or reconnect, and that can trigger the setup assistant. Also, if you’re using a fancy mechanical keyboard, or a gaming keyboard, it’s possible the keyboard has not fully identified itself the way an Apple keyboard does, and that could trigger the Keyboard Setup Assistant to confirm the layout.

There’s also the potential for a bug or issue with keyboard preferences, or even a Bluetooth pairing issue, to cause the Keyboard Setup Assistant to spontaneously appear.

You might also encounter this issue when you’re running multiple different MacOS versions on a network where you are sharing the keyboard and mouse with Universal Control, though this issue does not seem to be limited to any specific version of MacOS (FWIW I have encountered this quirk on many MacOS versions over time, including MacOS 27 Golden Gate).

Troubleshooting Keyboard Setup Assistant Popping Up Randomly on Mac

There are a few tricks to try and dismiss this if you continue to see it popping up on your Mac:

  • Go through the Keyboard Setup Assistant again as instructed on screen, this sometimes resolves the issue permanently
  • Quit out of Keyboard Setup Assistant if the keyboard is already working, this often makes the problem go away
  • Replace keyboard batteries, or charge keyboard battery completely. One of the more common reasons for Keyboard Setup Assistant to randomly appear involves any potential brief disconnection and reconnection, whether that’s from battery lapse, wake from sleep, screen saver activation, a USB-C dock or hub cycling power, or similar
  • Try disconnecting and reconnecting the keyboard, whether that’s USB or Bluetooth
  • Try restarting the Mac
  • If using a keyboard shared across multiple Macs, try restarting the host Mac (ie; the Mac the keyboard is actually connected to originally)
  • Try temporarily disabling third party keyboard utilities or tools that could be impacting the connection
  • If connecting a USB keyboard through a USB hub, try connecting it to the Mac directly instead
  • Install any available MacOS system software updates to address any potential bugs or known quirks with keyboards
  • If using third party keyboard software, install any available updates to that

You can also try troubleshooting by using a different keyboard connected directly to the Mac, because if the issue continues to appear with a new and different keyboard, it’s probably something with MacOS itself and not the keyboard.

Keyboard Setup Assistant is not supposed to appear all the time, let alone at random, so if you are experiencing this kind of weird issue, then run through the troubleshooting and suggestions detailed above. If it continues to happen constantly, it might be a hardware problem with the keyboard itself or an attached USB hub, but that’s fairly rare. Most commonly, this issue resolves itself by charging/swapping batteries of the keyboard, directly connecting or pairing via Bluetooth to the Mac, or by simply going through the setup assistant, or by dismissing it if the keyboard is already functioning as intended.
